RULES & GUIDELINES:
Right of Admission
We Reserve the Right of Admission. We reserve the right to cancel your participation at any time.
Parking
Vendors will be allowed to use the allocated drop-off zone between 6h30 – 8am & 2 – 3pm before the market entrance. All cars will be parked in the allocated zone away from the market to allow customers easy access. Security will be provided.
Smoking
No smoking in public areas under any circumstances, especially with any food courts or the designated eating area.
Tables and Chairs
We do not supply tables or chairs to stallholders. Section 6 will have 10 wooden tables, 1.5m x 700. This is the only section where tables will be provided. The stalls will be all under cover for sections 1 to 7. Also, note that the speakers will be placed at section 6 – Home made section. There will be a limited number of wooden and plastic chairs available at the market – first come basis.
Meat/Dairy & Hot Food Products
Vendors must keep their Certificate of Acceptability at their stand at all times. Vendors should provide clear information about production methods and ingredients, especially warnings for people with allergies. Each vendor must display this on the day. All vendors must have a licensed food license. New vendors can also request assistance from the market manager at least 10 days before the event if needed. (Forms are available on request and does not have any cost to them.)
All staff preparing and packaging food must wear gloves at all times. When serving or handling food, please use tongs or another utensil.
All food vendors that are cooking on the premises must have a visible serviced fire extinguisher on display, plus a 5-litre bowl of water and hand sanitizer for cleaning. This will not include vendors warming up food, only for 100% preparation on the premises.
Food vendors are not allowed to handle food and money at the same time. Please make sure you have someone separately for each task.
Waste & Sustainable Packaging
Vendors must promote the use of disposable waste bins by their stands in order to promote environmental sustainability. Packaging types, especially with food products should be of an easily de-composing nature, or environmentally friendly nature.
Compliance with health, safety, and related laws
Vendors and their employees are responsible for familiarising themselves with and complying with local health and safety regulations and licensing requirements governing the production, display, distribution, sampling, and sale of their products. Vendors can also consult with the event organizer for assistance with this process.
Clean and safe
Vendors are responsible for keeping their space clean and attractive during market hours and must clean up their space after the market closes. Bins with refuse bags will be provided by the market organisers.
Long tablecloths are recommended so that vendors can store their extra products under the tables and cannot be seen by the public, therefore keeping a tidy appearance.
Space assignment
The market manager assigns stall spaces to vendors before the start of the market. These are clearly indicated with the table space, as per the diagram attached. The placement of tables in certain areas will be closer than others to allow for a positive retail environment. These are also clearly indicated in the attached diagram and photos attached.
All vendors are required to be fully setup by 7h45 on the morning and keep their stalls fully operational and manned till 2pm the afternoon even if all goods were sold. Vendors will be allowed to display items on the side and in front of their allocated spaces, based on a) the vendors next to them agreeing to the extra space used and b) enough walking space allowed for customers.
General trading agreement
This will be a family community friendly market with sober & ethical standards.
The market will be run in a non-racial or discriminatory manner. Any complaints must be reported to the event manager who will in the appropriate manner and time address the situation. Any staff member, stall owner, or person who contributes to chaos, or racial or discriminatory issues may be banned from the market.
We will treat the customer with utmost respect, including fellow stall owners and staff.
You will also not be able to sell your market to a 3rd party in the event that would not be able to make it on the day.
Payments/Bookings
Pre-payments: Reserved stall spaces will only be pre-payments completed before 7 days before the event date.
Cash payments on the day: Late payments or bookings depend on the availability of open spaces on the day. A first come basis will be applied.
No refunds will be given on cancellations unless we are able to get a replacement for the stand.
